- Compensation: $65,000 - $80,000 per year. Actual compensation will depend on experience, qualifications, and internal equity

Purpose
The Project Administrator supports the Sales Department by coordinating operational activities, project details, timelines, and workflows to ensure sales initiatives and programs are executed efficiently and on schedule. This role partners closely with sales leadership and cross-functional teams to manage logistics, reporting support, documentation, and administrative operations, enabling the department to effectively support business growth, customer engagement, and strategic sales initiatives. By combining strong project coordination skills with reliable administrative support, the Project Administrator helps keep sales initiatives organized, aligned, and moving forward.
Job Duties & Responsibilities
- Project Coordination & Tracking: Support the planning, coordination, and execution of sales projects, initiatives, and programs by managing timelines, deliverables, milestones, and dependencies across multiple priorities.
- Workflow & Status Management: Maintain project trackers, schedules, reports, and documentation; provide regular updates to sales leadership on project progress, risks, outstanding action items, and upcoming deadlines.
- Meeting & Event Logistics: Coordinate sales meetings, leadership reviews, training sessions, dealer events, and working meetings, including scheduling, agendas, materials preparation, room setup, IT/AV coordination, and follow-up notes.
- Administrative Support: Provide ongoing administrative support to Sales department leadership, including calendar management, travel coordination, expense report processing, and general departmental support activities.
- Budget Tracking Support: Track sales-related project expenses, invoices, event costs, and spend against approved budgets, providing visibility and updates to sales leadership without ownership of budget creation.
- Communication & Documentation: Support internal and external communications related to sales initiatives, including preparation and distribution of presentations, reports, follow-ups, meeting materials, and customer or dealer communications.
- Cross-Functional Coordination: Partner with internal teams such as Finance, Purchasing, Marketing, IT, Distribution, and external vendors to support sales operations, projects, meetings, and event logistics.
- Process & Organization: Maintain organized records, project files, sales documentation, and shared departmental resources; identify opportunities to improve coordination processes and operational efficiency within the Sales Department.
- Professional Representation: Act as a reliable point of contact for internal stakeholders, dealers, vendors, and project participants, representing the Sales Department with professionalism, responsiveness, and attention to detail.
- Additional Responsibilities: Support special projects and perform other duties as assigned to advance Sales Department goals and business objectives.
Specifications
- Associate’s degree with PMP Certification or Bachelor’s degree preferred; equivalent combination of education and experience may be considered.
- 3–5 years of relevant experience preferred.
- Strong understanding of project coordination fundamentals
- Proven ability to manage multiple sales-related projects and priorities simultaneously
- Excellent organizational and time-management skills
- Clear and professional written and verbal communication skills
- Ability to coordinate meetings, events, and operational logistics, including scheduling, IT/AV setup, materials preparation, travel coordination, and vendor support.
- Experience tracking project budgets, invoices, expenses, and approvals
- Strong interpersonal skills and the ability to collaborate effectively with sales leaders, dealers/customers, vendors, and cross-functional business partners.
- Adaptability and problem-solving skills, with the ability to respond to changing priorities while keeping projects and deliverables on track.
- Professional judgment and discretion when handling sensitive business information and leadership communications.
- Proficiency in Microsoft Office Suite and comfort working in project management, reporting, or collaboration tools.
