About You

You will receive, audit and arrange packing and shipping orders for Export Sales customers in order to determine the most acceptable shipping rates and methods and recommend contractual agreements. This individual will provide support to the export sales team, customers and internal personnel to ensure procedures flow smoothly. Respond to inquiries from customers, STIHL Germany or internal personnel as to the status of orders pending receipt or shipping. Provides information such as shipping dates, product availability, etc.

 

Job Duties & Responsibilities

  • To service approximately 140 export customers and/or vendors by receiving orders via electronic data interchange and/or export requisitions. Reconciles orders in system. Evaluates orders for compliance with contract.  Processes export requisitions from various internal departments manually as necessary.
  • May coordinate order information with personnel in other departments to determine availability and scheduling.
  • Determines availability and shipping dates. May coordinate with personnel in appropriate departments for information and or approval for release.
  • Transmits or releases processed orders to materials department for packing and shipping, noting special packing requirements, shipping instructions, or customer/other order requirements.  Includes Hazmat shipments.  Must know when they need to be declared as Hazmat shipments and when they can be shipped excepted.  Know the different vessel regulations as well as custom requirements.  Must follow all Federal and International Regulations.
  • Determines appropriate shipping carrier and evaluates outbound shipping rates with carriers.

  • Books and orders containers from freight carriers or freight forwarders. Schedules drayage to appropriate port or airport.

  • Prepares and collects shipping documentation required for orders based on country the goods will be received. Makes documentation available in customer collaboration folders in system.

  • Coordinates special requirements with materials personnel to ensure proper handling. Coordinates product documentation or order customization requirements with materials, sales planning, and STIHL Germany to ensure complete order fulfillment.

  • Generates invoices for export sales customers, verifies for accuracy, to include but not limited to, foreign trade data, weights/dimensions and country of origin.  Forwards to appropriate customer contact.  Transfers invoice and documentation to finance for further processing or collection.

  • Investigates discrepancies in shipping status or product specifications as reported by customers or internal personnel.  Amends required records, such as invoicing, as necessary.  Responds to customer complaints in a timely fashion to resolution. May negotiate mutually satisfactory resolutions, including replacements or shipping cost reimbursements within authorized guidelines.

  • All other duties and responsibilities as assigned.

Specifications

  • Performs work under general supervision. Handles moderately complex issues and problems and refers more complex issues to higher-level staff.
  • Basic computer and Microsoft software knowledge, including Word, Excel, PowerPoint & Outlook.
  • Excellent verbal and written communication skills.
  • Must be willing to obtain Hazmat certification, training will be provided by STIHL.
