Job Duties & Responsibilities
- Composes correspondence of a general business nature or composes from marginal notes and verbal instruction, the nature of which is frequently highly confidential, involving financial, legal, technical and other business terminology.
- Receives, screens, and relays telephone calls and places outgoing calls. Plans, coordinates, and attends specified meetings and events on behalf of executive; arranges meeting and conference schedules as directed and notifies participants.
- Manages and maintains appointment agenda and keeps executive informed as to commitments. Organizes, maintains and assumes responsibilities for executive's documents, files and records.
- Plans, coordinates and expedites the completion of assigned administrative projects, events, workshops and business meetings. May perform translations of German language documents to English, depending on assignment.
- Arranges executive travel itinerary and when necessary makes contact with traveling executive on important or urgent matters. Prepares conference agenda and materials to include reports, files, records, etc.
- Coordinates and manages visitor access to the plant with Security and others as needed.
- Coordinates agendas, local travel arrangements, and invoice management for Executive level visitors.
- Office Management for immediate office area.
- All other duties and responsibilities as assigned.
Specifications
- Bachelor's degree
- German proficiency required.
- Advanced knowledge of Microsoft software, including Word, Excel, PowerPoint, Microsoft Teams and Outlook, and Adobe.
- Excellent verbal and written communication skills.
- Flexible schedule based on business needs and Executive calendar.
- 5-7 years related work experience.
