Administrative Assistant

Purpose

To support Procurement Supply Chain department by scheduling, coordinating, and implementing departmental or area activities.  To provide general clerical/administrative support with respect to such items as tracking expenses, preparing spreadsheets, copying and distributing materials, etc.

Job Duties & Responsibilities
  • Coordinates and implements regular administrative projects, such as annual budgets, external communications and mailings, and typing/word processing reports or presentations. 
  • Researches, analyzes and prepares reports using departmental data.  May compile information from multiple sources; ensures accuracy and prints reports and/or distributes reports as per procedure.
  • Administers regular departmental operations functions, such as generating and distributing documentation, generating and sending correspondence, informing departmental personnel of issues and problems, and processing request for information.
  • Completes and assists in the completion of special projects, such as unscheduled presentations, operational planning, staff communications, etc., by gathering data, formatting into documents, spreadsheets, etc. and generating copies or other media for presentation/distribution.
  • Provides varying levels of secretarial support to department or area in such areas as receiving and distributing incoming mail, answering telephones, greeting visitors, typing/word processing reports or letters, making travel arrangements and preparing expense reports.
  • Creates new or updates existing spreadsheets and databases that track, record, or analyze operating data. 
  • Arranges appointments, meetings, or other inter-company activities for departmental personnel.  May include large group meetings off site, including internal employees and external customers.
  • Performs other related duties as required.
Specifications
  • High School degree or equivalent.        
  • 5 years of related experience.
  • Extensive knowledge of Microsoft office software, including Word, Excel, Power Point & Adobe.         
  • Knowledge of SAP and Trend applications preferred.       
  • Bilingual English/German preferred.
